Description
- Works in the Sample Operations Management team, which provides support to marketing and sales teams that distribute pharmaceutical samples to Health Care Professionals (HCPs).
- Take part in developing and executing process improvement projects that serve to improve customer experience within the Sample Operations and distribution process
- Support Sample Operations in preparation of a new product launches, by managing Sample Request Forms, Sales Force set up and product registration in US and Puerto Rico.
- Update training materials in accordance with procedural changes and system updates.
- Logistics:
- Work with brand managers and demand planners to forecast sample demand and ensure manufacturing schedules are aligned
- Track and manage sample inventories and related commodities needed to ship samples to HCPs and sales reps
- Ensure stock is reordered with enough lead time to avoid stock out situations
- Coordinate transportation between and third-party distribution centers
- Ensure timely receipt of shipments. Investigate and report any shipment discrepancies or returns
- Process daily requests sent to the Sample Operations team by phone and email supporting field sales reps and HCPs.
- Process adhoc sample shipment requests
- Support the product allocation process and manage shipping reports.
- Work with brand managers and demand planners to forecast sample demand and ensure manufacturing schedules are aligned
- Budget Management:
- Build and maintain budget trackers to track purchase orders, invoices, and forecasted budget
- Ensuring Statements of Work (SOWs), POs and Change Notices are opened timely

Skills:
Qualifications
- Bachelor’s degree or 4 years equivalent work experience.
- Self-starter with ability to operate independently, drive process improvements and operate with speed and agility across all levels of management
- Able to prioritize and manage multiple tasks/priorities simultaneously with sense of urgency
- Strong problem-solving and analytical skills.
- Strong communication, presentation, organizational and interpersonal skills.
- Able to clearly and confidently articulate complex and difficult concepts
- Experience with customer service, logistics and finance systems
- Strong knowledge of MS Excel.
- Ability to learn and utilize other software tools as necessary.
- 3 years or more of experience in operations or customer service, preferably but not limited to Pharmaceutical.
- Knowledge of SAP, Veeva / Salesforce.com a plus
- Pharma experience and Prescription Drug Marketing Act (PDMA) experience a plus.
- Familiarity with accounting/ finance systems
